Within my workflow I am using the 'Collect Data from user'. I want to send a custom email (by turning of alerts on the Task list) and using the Send Email action.
My problem is I want to send a link with the task to approve in an email to the user the task has been assigned to (approver). But the action ''Collect Data from user' pauses until the task is edited which won't happen because I haven't sent the details to the approver via an email!
Is there any way to get around this? Or get a reference from a newly created task back to item that created it from the 'Collect Data from user' action?
Figured out how to do this at last.
Create another workflow to on the Tasks list when an item is created.
Reference the item that created this task by using the Item ID to match the WOrkflow Item ID.
Now you can send custom emails with this action for one click approval.... :D
If the email just says something like "Approval needed on an item..." then how about sending the email first, then add your "Collect data" action? You'd be able to do this with one workflow, instead of two.
approval for the request. So far, my workflow uses the "Collect Data From User" action and the "Send and email" action. I configured data collection option so that there are two inputs: two radio buttons for approve/reject and a comment field. I built the email body and subject using dynamic strings and variables from the form data. I would like this approval process to be simple for the person... to the approver doesn't seem to be editable or have the option of being disabled (I don't want them to have a link to the XML for simplicity sake) The link from the "You have been assigned as task" email
sorry if this is a noob question, but I have to start somewhere! I'm working with Sharepoint 2007. I have a custom content type, Room Booking Event. When one is created, I want to start a workflow where the following happens: Using email, I want to send the details of the room booking (fields in the list), to an approver Ideally, I want the approver to be able to approve the booking right... workflow, but it's a bit crappy - there doesn't seem to be a way to send the event details in the email that is sent to the approver, it's just a nasty generic email. I did a SharePoint workflow according to this article: http://www.informationworker.co.za/blogs/mirror/Lists/Posts/Post.aspx?ID=873 and it does everything except send the email. How can I get this or any workflow to send an email to Task:Created By or Task: Assigned To?
I'm implementing a custom BCS Model to get data from a backend system. As the backend uses it's own user management, I'm accessing it through a service account. All of this works well and allows me to pull data into SharePoint. However because it's channeled through the service account, everyone can access it, which is bad. Can anyone give me some tips which method to implement? The backend..., but ideally I want to cover security inside the BCS Model so that it applies to external lists as well. I want to avoid using Secure storage and mapping each individual user to the backend.
So I did create on an SPWeb 20 custom lists and then a tasks list. For each of those 20 lists I've created 20 site lookup columns. I then created 20 Content Types based on Task content type. Then I've added each content type to the Tasks list. After that I've added each lookup site column to the corresponding list content type. So far so good. I've built a custom WebPart that displays task items... interested in seeing and running the script send me an email at: ovulex [ at ] yahoo.com. I will report this to Microsoft. Within my workflow using SPD I am using the "Create New Item" action to create a new Task list item this is fired when a holidayrequest item is created. My problem is I cannot see how to create/store a link back to the orignial holiday request item that created the task, so I can display this in the Task's edit form.
